We are seeking a Business Coordinator who thrives at the intersection of structure, communication, and execution.
This role is the connective tissue across estaie’s commercial, partnerships, and operations teams — ensuring that leadership priorities are executed, processes run smoothly, and cross-functional collaboration remains seamless as we scale globally.
Reporting to the COO (and occasionally supporting the CEO), you’ll manage key workflows, documentation, and operational follow-ups that keep the company aligned and moving efficiently.
This is a pivotal role for a detail-oriented, dependable, and proactive operator who finds satisfaction in bringing clarity to complexity and ensuring execution excellence.

Business Coordinator, your Key Responsibilities:
To drive alignment and operational precision across estaie’s leadership and commercial functions — turning strategic plans into measurable action and results.
1. Operational & Executive Coordination
- Provide proactive administrative and operational support to the COO and CEO, managing calendars, workflows, and follow-ups across multiple time zones.
- Prepare concise reports, executive summaries, and presentation materials for meetings and stakeholder updates.
- Track company-wide priorities and ensure timely completion of cross-functional action items.
- Handle sensitive information with discretion and uphold confidentiality at all times.
- Maintain structured documentation for contracts, partner agreements, and internal approvals.
2. Commercial & Sales Support
- Support the B2B Account Manager, Account Executive, and Partnerships Executives in executing partner and client initiatives.
- Coordinate onboarding tasks, documentation, and communication with partners and clients.
- Manage and update CRM systems to ensure data accuracy across the sales and partnerships pipeline.
- Assist in tracking KPIs, preparing reports, and maintaining visibility over commercial performance metrics.
- Act as a first point of contact for partner or client operational queries, ensuring issues are triaged and resolved promptly.
3. Communication & Cross-Functional Alignment
- Serve as the central coordination point between the COO, CEO, and commercial teams.
- Organize internal meetings, prepare agendas, and distribute minutes with clear action ownership.
- Maintain visibility over interdepartmental workflows to ensure projects remain aligned and on schedule.
- Support inter-team communication across Partnerships, Product, and Operations, helping align strategic goals with execution.
- Represent estaie professionally in both written and verbal communications with internal and external stakeholders.
What You Bring
- 2–4 years of experience in business coordination, sales support, or executive assistance, preferably within the hospitality, SaaS, or proptech industries.
- Exceptionally organized, detail-driven, and capable of managing multiple workstreams simultaneously.
- Skilled communicator with strong written, presentation, and interpersonal abilities.
- Comfortable using tools such as Google Workspace, HubSpot (or other CRMs), and project management platforms like Notion or Asana.
- Proactive and adaptable — able to anticipate needs, resolve issues, and take initiative.
- Dependable under pressure, with a reputation for accuracy and follow-through.
- Thrives in a fast-moving, globally distributed startup environment.
- Fluent in English; additional languages (Arabic, French, or Spanish) are advantageous.
